Part-time Parish Bookkeeper – Grace Episcopal Church Alexandria, VA

Grace Episcopal Church, a dynamic parish serving Alexandria and surrounding communities, is seeking to fill an on-site nonexempt position for a part-time 20 hour/week bookkeeper. Our bookkeeper is an integral employee in supporting our leadership team, parish activities, Vestry, parish members and other employees.

Hallmarks of worship at Grace are traditional Eucharistic liturgy, fine music, and a wide array of exciting program activities. Grace Church currently has seven paid staff and clergy employees and about a thousand parishioners. We are an active, welcoming and inclusive church. In that spirit, the bookkeeper will be the face of Grace Church in financial matters to our parishioners and to the community.

Responsibilities include, but are not limited to:

  • Manage all church accounting functions using Church Windows software
  • Handle accounts payable, receivable, bank deposit preparation, and all account reconciliations
  • Input, track and print statements for parishioner financial pledges, contributions and donations
  • Prepare incoming invoices, manage internal approvals, signatures, and sending of payments
  • Manage payroll, personnel payroll data, and employee benefit records and deductions
  • Provide financial reports, data and logistical support for multiple audiences including parish leadership, Executive Committee, Vestry and Trustees
  • Manage cost-sharing financial tasks and bills with Grace Episcopal School, which shares our building and grounds
  • Maintain actuals vs budget in an ongoing current view, and raise concerns about variances as proper
  • Answer routine inquiries from parishioners about donations, membership data, and other miscellaneous matters
  • Ensure accurate year-end reports, tax reports and tax filings
  • Prepare 1099s and other regulatory reports for contractors
  • Coordinate annual audit and implementation of advice from outside auditors
  • Complete year end postings and tax reporting information
  • Maintain all financial records and files
  • Follow and improve existing job documentation of work processes and tasks
  • Use Church Windows and other technologies to simplify and expedite tasks and processes
  • Comply with canons of the Church and following Business Methods in Church Affairs, published by the national church
  • Work cooperatively with other staff, volunteers and parishioners
  • Remain positive and courteous, even in stressful situations
  • Speak and act in a manner appropriate for an Episcopal parish
  • Other responsibilities as assigned

Experience and Competencies:

  • High level of proficiency in Church Windows or other church management financial software is required
  • Experience with Windows, MS Office, Adobe Reader, and online business tools like Dropbox or GoogleDrive
  • Attention to detail and prompt follow-up
  • Superior organizational skills in prioritizing work tasks and in managing electronic and paper filing
  • Experience in membership data management and/or fundraising data management a plus
  • Mature judgment to work with a wide range of constituencies and to handle all matters with discretion
  • Exhibits a positive, can-do attitude within a busy environment
  • Ability to create a warm, welcoming and helpful atmosphere of collaboration for parishioners and fellow employees
